1. Who we are

Shiloh Health Services  provides dental and ultrasound care at No. 9 Sir Arku Korsah Road, Roman Ridge, Accra, Ghana. We are the data controller for personal data collected through this website and through our appointment request form.

This policy explains how we collect, use, store and protect your personal data in line with the Data Protection Act, 2012 (Act 843).

2. What we collect

When you request an appointment, we collect your name, phone number, email address, the service you want, your preferred date and time, how you heard about us, any voucher code, and any short message you write. We also keep a record that you gave consent.

When you contact us by phone, email or WhatsApp, we keep the details you give us so we can reply.

Our website and its service providers may collect technical data such as your IP address, browser type and the pages you visit.

Please do not send medical details through the website, the appointment form or WhatsApp. Information about your health, medical history or treatment is special personal data under Act 843. We collect it only in person or by direct conversation with our clinical staff, and only with your consent.

3. Why we use your data

We use your data to:

  • review and respond to your appointment request;
  • confirm, change or cancel your appointment;
  • apply a voucher you give us;
  • understand which of our channels people find us through;
  • keep our website secure and working;
  • meet our legal and regulatory duties.

We rely on your consent for the appointment request form. You can withdraw your consent at any time (see section 8).

4. Marketing

We do not use your data for direct marketing unless you have given us written consent. If you agreed to receive marketing, you can tell us in writing at any time to stop, and we will stop.

5. Who we share data with

We do not sell your personal data. We share it only where needed to run our services:

  • our clinical and administrative staff;
  • service providers that host our website, store appointment requests and send our emails, who may only use your data on our instructions;
  • the booking platform we use, if you book through it, which has its own privacy policy;
  • Google, for reviews shown on our site and for maps;
  • regulators, courts or law enforcement where the law requires it.

Some of these providers store data outside Ghana. We take reasonable steps to make sure they protect it to a standard consistent with Act 843.

6. How long we keep it

We keep appointment request data for  12 months unless you become a patient, in which case clinical records are kept for the period required by Ghanaian law and professional rules. After that we delete or anonymise the data.

7. How we protect it

We use reasonable technical and organisational measures to guard against loss, damage, unauthorised access and unlawful processing. These include encrypted connections on our website, restricted access to appointment requests, and staff confidentiality duties. No online system is completely secure. If a breach affects your data, we will notify you and the Data Protection Commission as the law requires.

8. Your rights

Under Act 843 you may:

  • ask whether we hold personal data about you, and get a copy of it;
  • ask us to correct data that is wrong or out of date;
  • ask us to delete data we no longer need or have no right to keep;
  • withdraw your consent at any time;
  • object to direct marketing;
  • complain if you think we have mishandled your data.

We do not charge a fee for these requests. We will reply within a reasonable time and no later than 30 days. To make a request, contact us using the details in section 12. We may ask you to confirm your identity first so that we do not give your data to the wrong person.

9. Children

If you are under 18, a parent or guardian must give consent before you submit personal data to us. If you believe a child has sent us data without that consent, contact us and we will delete it.

10. Cookies and other websites

Our website uses cookies that are needed for it to work and, where we have added them, cookies from embedded services such as Google reviews and maps. You can block cookies in your browser settings, but parts of the site may then not work. Links to social media or other websites are not covered by this policy, and we are not responsible for their privacy practices.

11. Governing law and complaints

This policy is governed by the laws of the Republic of Ghana, including the Data Protection Act, 2012 (Act 843). Any dispute about it falls under the jurisdiction of the courts of Ghana.

If you are not satisfied with how we handle your data, please contact us first. You may also complain to the Data Protection Commission, Ghana (dataprotection.org.gh).
